1. OVERVIEW

Lance O's Recruiting Network ("LRN," "we," "us," or "our") operates the RecruitMail email campaign platform as part of the services available at www.lanceosrecruitingnetwork.com. This Privacy Policy explains how we collect, use, store, and protect your information when you use RecruitMail, including how we handle data obtained through Google APIs.

2. WHAT RECRUITMAIL DOES

RecruitMail enables student athletes to send personalized recruiting emails from their own Gmail accounts to college coaches. Athletes authorize their Gmail account, build an email campaign through our platform, and emails are sent on their behalf via the Gmail API.

3. INFORMATION WE COLLECT

When you use RecruitMail, we may collect the following:

Account Information: Your name, email address, graduation year, and other profile details you provide through your LRN membership.

Gmail Authorization Data: When you connect your Gmail account, we receive and store an OAuth 2.0 access token and refresh token. These tokens allow RecruitMail to send emails on your behalf. We also store the Gmail address associated with the authorized account.

Campaign Data: Campaign names, email subject lines, email body templates, recipient segment filters, send schedules, and related campaign configuration.

Email Send Records: For each email sent through RecruitMail, we store the recipient's email address, name, school, the subject and body of the email as sent, send timestamps, and delivery status.

Tracking Data: We collect open and click tracking data for emails sent through the platform, including timestamps, IP addresses, and user agent strings. This data is used to provide campaign performance reporting.

4. HOW WE USE YOUR INFORMATION

We use the information we collect to:

- Send emails from your Gmail account to college coaches on your behalf, as directed by you through the campaign builder.
- Track email delivery, opens, and clicks to provide you with campaign performance reports.
- Manage your campaign settings, schedules, and recipient lists.
- Maintain and improve the RecruitMail platform.

5. GOOGLE USER DATA — LIMITED USE DISCLOSURE

RecruitMail's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

- We only request the gmail.send scope, which permits sending email on your behalf. We do not request access to read, search, modify, or delete your emails or any other Gmail data.
- Your Gmail OAuth tokens are used solely to send emails that you have configured and authorized through the RecruitMail campaign builder.
- We do not use your Google user data for advertising, market research, or any purpose unrelated to providing the RecruitMail service.
- We do not sell, rent, or share your Google user data with third parties.
- We do not allow humans to read your Google user data unless (a) we have your explicit consent, (b) it is necessary for security purposes such as investigating abuse, (c) it is necessary to comply with applicable law, or (d) our use is limited to internal operations and the data has been aggregated and anonymized.

6. DATA STORAGE AND SECURITY

Your Gmail OAuth tokens are stored in a secured database (Supabase/PostgreSQL) hosted on cloud infrastructure. Access tokens are refreshed automatically and expire regularly. We use industry-standard security practices to protect your data, including encrypted connections (HTTPS/TLS) for all data in transit and restricted database access limited to authorized backend services.

Only authorized LRN administrators have access to the backend systems where tokens and campaign data are stored.

7. DATA RETENTION

We retain your Gmail authorization tokens for as long as your account is active and you have not revoked access. Campaign data and email send records are retained for reporting and compliance purposes.

You may request deletion of your data at any time by contacting us (see Section 10).

8. REVOKING ACCESS

You can revoke RecruitMail's access to your Gmail account at any time by:

- Visiting your Google Account at https://myaccount.google.com/permissions and removing LRN RecruitMail from the list of authorized apps.
- Contacting us directly to request disconnection.

Once access is revoked, RecruitMail will no longer be able to send emails from your Gmail account. Stored tokens will become invalid and will be removed from our database.

9. THIRD-PARTY SERVICES

RecruitMail uses the following third-party services to operate:

- Google Gmail API: To send emails on your behalf.
- Supabase: For database hosting and data storage.
- Railway: For application hosting.
- Wix: For the front-end website and member management.

We do not share your personal data or Google user data with any third parties for their own purposes.

11. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date at the top of this page. Your continued use of RecruitMail after changes are posted constitutes your acceptance of the updated policy.
